The AI Prompts Guide for HR (with Templates!)

Why Generative AI? 

Generative artificial intelligence (GenAI) is no longer just a buzzword — it’s a powerful tool transforming HR departments across the globe. By writing job descriptions and creating staff communication policies, GenAI is enabling HR professionals to save time, reduce effort, and make smarter decisions.

Four Steps for Better Prompts

Here’s a handy four‑step prompt‑engineering framework using the acronym SHRM:

S - SpecifyH - HypothesizeR - RefineM - Measure
  • Clearly define what you want the model to do.
  • Identify the goal (e.g., “Summarize this report for executives”).
  • Provide any necessary context or background.
  • Iterate on your wording based on actual outputs.
  • Tweak instructions (“Use bullet points,” “Avoid jargon”).
  • Add examples or “few‑shot” demonstrations.

Example

You need to prepare HR business partners to train leaders on the performance management process.

  • Specify: “Write a 100‑word overview to help HR business partners explain the performance management process to finance.”
  • Hypothesize: “It may be too technical—risk of over‑jargon.”
  • Refine: “Use plain English; mention high-performing teams.”
  • Measure: "Rate clarity on a scale of 1 to 5; iterate until you hit 4 or more."

Compliance and Legal Considerations

HR leaders must carefully consider the compliance and legal ramifications of using AI to ensure their approach aligns with regulations and promotes fairness, transparency, and inclusivity. While many of the laws governing AI may not relate directly to using GenAI to craft communications, write interview questions, or summarize reports, it is still helpful to have general knowledge of the ever-changing legal framework around AI. 

The U.S. Equal Employment Opportunity Commission (EEOC) has made it clear that the use of AI in hiring and employment decisions must comply with federal anti-discrimination laws, including Title VII of the Civil Rights Act and the Americans with Disabilities Act (ADA). AI systems must not create unintentional biases or disproportionately impact protected groups.

Several states are also implementing their own AI-related regulations. Colorado and New  York City both passed laws meant to prevent bias in AI algorithms --- though whether they are making an impact is to be determined. California in 2024 ensured that its statewide data privacy laws also apply to data stored in AI tools such as large language models. Employers must implement robust data security measures to protect sensitive information and ensure transparency around data usage.
